This policy explains what personal information Astelo handles through this website, discovery-call requests and our business services.

About this policy

Astelo is an Australian operational automation consultancy. In this policy, Astelo, we, us and our refer to the business operating this website and responding through hello@astelo.com.au.

We aim to handle personal information transparently and consistently with Australian privacy law, including the Australian Privacy Principles where they apply to us.

This policy covers the website, discovery-call requests, email correspondence and information shared when discussing or providing our services. Client engagements may also have specific confidentiality, security and data-handling terms.

Information we collect

Our discovery-call request form collects:

  • your work email address;
  • your business size range;
  • the area of repeated work you select;
  • any optional details you add about your enquiry; and
  • your acknowledgement of this policy and permission to contact you.

During later conversations or client work, we may also collect:

  • your name, contact email address and phone number if you provide them;
  • your business name, industry and approximate staff range;
  • information about workflows, systems, tools, handoffs, approvals, problems, volumes, goals and timing;
  • correspondence, meeting notes and information needed to assess or manage an enquiry;
  • proposal, engagement and billing information if you become a client; and
  • technical request and security information associated with the website.

Please keep form answers at a business-process level. Do not include passwords, access keys, financial account details, health information or unnecessary personal information about customers, workers or other people.

How we collect information

We usually collect information directly from you when you complete the discovery-call request form, email us, meet with us, request a proposal or otherwise provide information in connection with our services.

We may also receive information from your organisation, a person who introduces or refers you, or providers that help operate the website and communications. If you provide information about another person, you should be authorised to do so and make them aware of this policy where appropriate.

Why we use information

We may collect, hold and use personal information to:

  • assess and respond to your enquiry;
  • contact you about your discovery call or requested services;
  • understand your processes, systems and objectives;
  • prepare proposals and provide agreed services;
  • operate, secure, troubleshoot and improve the website;
  • prevent spam, abuse and duplicate submissions;
  • maintain business, tax, insurance and legal records; and
  • comply with legal obligations and protect lawful rights.

If you do not provide required information, we may not be able to assess or respond to the enquiry.

When we disclose information

We may disclose personal information where reasonably necessary to:

  • people working for or with Astelo who need it for their role and are subject to appropriate confidentiality obligations;
  • providers that supply website hosting, email, communications, security, professional advice or approved business systems;
  • your organisation or an authorised representative when an enquiry is made on its behalf;
  • regulators, courts or law-enforcement bodies where required or authorised by law; or
  • another party with your consent or at your direction.

We do not sell personal information. The website uses Formspree to deliver enquiry submissions to Astelo. Successfully delivered submissions may be available to authorised Astelo users in Formspree's submission inbox. The website does not currently send those answers to a CRM or analytics platform.

Overseas processing

Formspree processes form submissions using infrastructure hosted in the United States. Other hosting, email or business-system providers may also process information outside Australia. Astelo has not enabled CRM storage for website submissions.

Where Australian privacy law requires it, we will assess overseas providers and take reasonable steps before disclosing personal information to them.

Storage, security and retention

Personal information may be held in approved email, document, hosting and business systems, including Formspree's submission inbox, and their backups. Provider retention and access settings are managed through the relevant service account. We use safeguards appropriate to the nature of the information, but no internet transmission or storage system can be guaranteed completely secure.

The application avoids placing form answers in ordinary application logs. Short-lived security records use derived identifiers and payload fingerprints rather than raw form content. Hosting and email providers may still process technical information needed to operate and secure their services.

We retain personal information only for as long as reasonably needed for the purpose for which it was collected, business and legal obligations, and security or dispute management. We then delete or de-identify it where lawful and practicable.

Website storage and analytics

The website does not currently use advertising cookies or an analytics platform.

The discovery-call request form does not store an unfinished draft in your browser. Astelo does not receive your answers until you submit the form.

If analytics, advertising or additional cookies are introduced, we will update this policy and provide any notice or choice required before enabling them.

Email and direct marketing

We may email you to respond to an enquiry, manage an engagement or provide information you requested.

Submitting a discovery-call request does not subscribe you to an ongoing marketing list. If Astelo introduces promotional email, it will use a separate permission where required, identify the sender and provide a functional way to unsubscribe.

Access and correction

You may ask for access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

Email hello@astelo.com.au. We may need to verify your identity before actioning a request. We will respond within a reasonable time and explain a refusal where required by law.

Questions and complaints

Contact hello@astelo.com.au with enough information for us to understand the issue. We will acknowledge, investigate and respond within a reasonable time.

If the Privacy Act 1988 (Cth) applies and you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner.

Changes and contact

We may update this policy when our services, providers, technology or legal obligations change. The current version will remain on this page with its last-updated date.
